So you think you can do it?“I know I can do it, but I don’t want to”, says many a small businessperson to me. Or “of course I can do it, but I don’t have the time”. Well really, unless you have some accounting training, that is not entirely true. The accounting software makes it look super easy and it is true you no longer need to laboriously enter multiple heavy ledgers, and manually transfer to the general ledger. Even the famous Trial Balance, which helped validate whether all the debits and credits were in balance, has become outdated because modern accounting software, won’t let you make an entry, that does not balance. That does not mean that a regular untrained user won’t make all manner of errors and omissions, it is just that the errors will still balance. Technological development does make many aspects of accounting a lot easier. Like entering invoices, bills, making payments etc.But there is still a very real degree of accounting knowledge required to manage the whole process. At the very least one should know the basics of double entry bookkeeping. It is amazing how many small business owners think they can do it themselves, because on the face of it, it looks simple enough. Just because you can use word processor software, does not mean that you can write well if you don’t have the grammar, words and concepts. So too with accounting software.I encourage small business clients do their own invoicing and Vendor bills. But the Set-up, Posting, Reconciliations and Reporting, they should leave to the professional QBO ProAdvisor. Especially the reporting, as prepared by a professional, presents detailed information regarding the profitability of the company, with granular details depending on what the company wants to know in terms of managing the business. These kinds of reports give small business a useful snapshot of their business flow, that helps support management decisions. Good accounting/bookkeeping ensures that transactions are properly recorded ... else the business owner will find him or herself “in great trouble and confusion as to all...(business) affairs.” So, said Pacioli, the Venetian inventor of accounting's fundamental principle, the double entry bookkeeping system. “Trouble and confusion’ certainly describe the accounting experience of many small business owners these days notwithstanding the overload of apps that promise to make things easier.Notwithstanding the marvels of online bookkeeping and the overwhelming plethora of apps that promise to make things easier, too many small, owner managed businesses, consultants and the like get themselves into a real mess around their bookkeeping. It's partly because the ease of entering invoices and making payments in modern accounting software like QBO, can mask a real lack of knowledge of double entry bookkeeping. Doing it all yourself can only go so far.Originally Debits and Credits meant simply Debit is the left side of a 2-column ledger, (a page divided into 2 columns) and Credit is the right side of an account. But don’t let that fool you as debit means something different in an asset account compared to an expense account. Their use is not intuitive and can be confusing. Like life, it is full of paradox. A debit entry in an asset or expense account increases those assets or expenses, and a debit entry in a liabilities, equity or revenue account decreases those accounts. The reverse is true for credit entries in each of these cases. The wisdom is to know the difference – long the bane of an accounting student’s existence. Writers after Pacioli would include lists of rules to show how this is done. Every single transaction will have both a debit and credit entry recorded in the audit journal behind the scenes which the online software rightly hides from the everyman. But that’s exactly what those medieval scribes, the bookkeepers, were doing by laboriously entering the transactions into multiple journals and ledgers. Pacioli recommended that “first you shall get a helper as you could hardly do it alone” ... ‘for, if you are not a good bookkeeper in your business, you will go on groping like a blind man and meet great losses’. Untangling the QBO Bank Feed The Bank Feed is for me the single most wonderful part of modern accounting software, especially in QBO which is the one I know best. Suddenly you see all your transactions scrolling through. But it is also the section that allures and confuses the do-it-yourselfers. This is the thing – the Bank Feed is not actually sitting inside of the QBO’s core accounting. It is a kind of waiting room in-between the Bank and the accounting heart. In this waiting room, the system reads into the actual Bank’s records on the one hand , and on the other hand peeks into the QBO core to see if the transactions have already been recorded. If it recognizes the transactions because they are already recorded as an invoice, receive payment, expense or bill etc, then it suggests a match. Otherwise it guesses, unless rules have been set. But even rules sometimes apply variously. The AI sometimes brings up surprising things. A warning to the do-it-yourselfers. You’re in the in-between zone. Many small business do mainly Bank Feed accounting these days, apart from their Invoicing & Receive Payments. Take care!
